Administrative Assistant
Joel Alvarez Paradise Challenge / Black Tape Project
Preferably in Miami but not required.
$12.00 per hour
Start Date: July 1, 2018, or whenever available after that date.
Hours: 10-15 hours/week (in studio), 2-3 hours/week (remotely)
About the Job
Black Tape Project -BTP is searching for a reliable, task & detail oriented Administrative Assistant (AA). The AA will work directly with Joel Alvarez in Miami, FL or from home and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced photography business. The position will require occasional travel out-of-state and out-of-country to assist with productions at an increased rate of $150 - $200 per day.
Responsibilities:
- Provides a bridge for smooth communication between Joel and his clients
- Welcomes customers by greeting them, in person or on the telephone; answering or directing inquiries
- Responds to emails & booking inquiries in a timely fashion
- Manages an extremely active calendar of events
- Assist with workshop planning & coordination
- Updates and maintains digital mailing lists
- Creates Bi-weekly and quarterly digital newsletter
- Inputs business expense and payroll date
- Social media Posts and updates
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Provides assistance with pre-production
- Creates client agreements while following up until signatures have been attained
- Arranges travel plans: Booking villas hotels Flights and car rental
- Client and event spread sheets
- Manages production schedules while providing updates to all parties involved
- Creates and distributes call sheets, legal docs (standard release forms.)
- Social media protocol, scheduled posts and paid ads
- Provides assistance with local and international productions
- Welcomes and works with clients to provide a positive experience on set
- Live Social media content development
- Serves as point of contact for all clients
- Manages schedule to assure timely productions
- Provides assistance with post-production process
- Creates and delivers client invoices
- Follows up with past-due invoices
- Assists with basic-level image retouching
Administrative Skills Required:
- Organizational skills
- Able to communicate effectively and professionally, both verbally and via written correspondence
- Project management skills
- High School degree required, some college preferred
- Experienced in task and project management
- Ability to prioritize multiple tasks and problem solve under deadlines
- Ability to communicate effectively and properly (i.e., spelling and grammar) via email
- Strong verbal and written communication skills
- Fast learner with new software
- Friendly and professional demeanor
- Self-motivated
- Ability to represent The Paradise Challenge in a professional, courteous, and warm manner
- Familiarity with tax, business, and accounting practices – a plus
- Photography experience - a plus
- Make up experience - a plus
